******************** HELP FOR "FILES TO INDEX" MENU ***********************
***************************************************************************
QUICK START: See the end of the HELP screen in the "Generate Index" Menu.
OVERVIEW: The "Files to Index" Menu includes options which enable you to
tell INDEX! which text files you want it to use for the insertion
of indexing codes. Filenames may be specified manually or
selected from a screen display. Individual menu options follow:
PUBLICATIONS: This option searches for all Ventura .PUB files located
in your default directory, and displays them on the screen
so that you can select the ones that contain chapters and
text files that you wish to index. Up to 200 files can be
displayed in a single session; ordinarily one .PUB file
will be selected, although it is possible to index more
than one at a time if they share the same indexable terms.
Once a publication has been selected, the chapters in that
publication are displayed as preselected, so that you can
deselect any that you do not wish to index. After you have
approved the chapters list, the screen will change to
display all of the text files in those chapters which
have extensions matching the defaults you specified. All
will be selected, so you can deselect any you do not wish
to index. You may choose up to 100 files in each session.
When you exit from the files list, your choices
are preserved for the current indexing session, and you
are given the option of saving them to disk as well.
CHAPTERS: This option searches for all Ventura chapter files located in
your default directory and displays them on the screen so that
you can select the ones which contain text files that you wish
to index. Up to 200 files can be displayed in a single session
and up to 100 may be selected for indexing. After selecting
the chapters, the screen will change to display all of the
text files in those chapters which have extensions matching
the defaults you specified. All will be selected, so you can
deselect any you do not wish to index. You may choose up to
100 files in each session.
When you exit from the files list, your choices are preserved
for the current indexing session, and you are given the option
of saving them to disk as well.
NOTE: All text files must be in ASCII form (.CAP files
are already in ASCII form), so it may be necessary to use
Ventura's File Type/Rename option to convert word processor
files to 8-Bit ASCII (see Appendix B of the Manual).
LOAD SPEC FILE: With this option you can load an INDEX! specification file
which contains the names of files to be indexed, as saved
in an earlier session. The filenames are automatically
loaded into memory for indexing.
DISK:DIRECTORY: Use this option to override the disk and directory
settings in the DEFAULTS section of the "Generate Index"
Menu. Upon start-up, this option is set to the default
disk and directory specified in DEFAULTS. Changing the
setting here enables you to index files from another disk
and/or directory without changing the default settings.
For the current session only, the new disk/directory
specified becomes the default.
MANUAL ENTRY: If the files you wish to index are drawn from a wide variety
of directories (or for any other reason), you can enter all
the filenames here by hand. When finished, you can save the
filenames to an INDEX! specification file. In either case,
the filenames entered here are loaded into memory for
indexing.
EDIT FILENAMES: With this option you can review the names of all files
selected for indexing, regardless of how they were loaded
(CHAPTERS and FILES options, LOAD SPEC FILE, or MANUAL
ENTRY). Any files which INDEX! can't find will be marked
for deletion, alerting you to possible problems. You can
either remove the deletion markers (presuming that you
are going to restore the missing files) or leave these
files marked for deletion, in which case their names
will be deleted from INDEX!'s list of files to be indexed
in memory (and, if desired, from your specification file).
If you have made typographical errors in MANUAL ENTRY or
in a specification file made up in a text editor, or if
you have changed the names of some files, you can edit
the names here. You can also save any changes to your
specification file, if appropriate.
HELP: This option provides the on-screen information which you are now
reading.
MORE HELP: If you would like to have more help online relating to the
FILES TO INDEX menu, you can edit the file "INFILMEN.HLP" in
any ASCII text editor, adding to or reshaping the material as
you see fit up to a maximum file size of 64K. Use spaces rather
than tabs to indent, limit line lengths to 76 characters, and
end each and every line with a carriage return.
